Information for Preparation of Video Submissions

Congratulations on the acceptance of your paper. Here is the step-by-step process of paperwork and deadlines that you should follow in order for your video to appear in the Video Proceedings.


You will need to complete two forms:

The Online Information Form. After you complete this form, you must print it and send it with your video.

The Video Copyright Form. Print this form, sign it and send it with your video.

Both these forms must be sent with your video submission. We need to have a printed copy of the forms with your signature on the copyright release forms for legal reasons. This will allow us to start creating the video and the printed booklets that will accompany the Video Proceedings.

Your videotape must arrive at the Center for High Performance Computing (CHPC), Salt Lake City, Utah, USA by 9 MAR 1999 for it to appear in the video proceedings. In an opening for the video proceedings, a selection of short clips, from the video you submit, may be used.

Format
It is necessary for you to send us an NTSC video tape. Videos can be received in the following formats (in preference order):

  • DVC Pro
  • BetacamSP
  • S-VHS
  • VHS
  • Hi-8mm in NTSC

Please do not send: (Digital Beta or UMATIC) NTSC, (ANY) PAL or (ANY) SECAM.

Leader
Please put 30 seconds of color bars at the front of your video, and if your video includes audio, please put OdB 1kHz tone with the color bars. Please use the appropriate version for your format.

Title
We will replace your title with a creation of your title to help unify the video proceedings.

Your Copyright
We will remove your copyright notice and place a copyright on the composited video proceedings. This will allow you to retain the copyright you may hold with your individual video.

Time
The time allotted each video is limited to FOUR (4) minutes. This includes your titles and credits. If your video is longer than four minutes, it may be edited down to this duration without your permission.

Video copyrights
The Video Copyright Form must be printed and signed and returned with your video submission. This is so that we have a legally binding signature on the copyright form. If your form does not accompany your video tape submission, it will NOT be included in the final video proceedings.

Audio
Audio with your video is encouraged, but if you add any background music, be careful that it is either in the public domain or that you have video copyrights to use the music. You must state this on the copyright form.

Independence
Even though the video proceedings accompanies the paper proceedings, in practice the paper and the video should each stand on their own. Adding a voice-over that explains what the viewer is seeing helps the video to stand on its own.

Standards
Try to achieve the same high standards that you applied in the writing of your paper to the production of your video.

Information
A printed information pamphlet is included with the video proceedings. Please fill out the Online Information Form and return it with your video submission.
